Words that sound interchangeable in a club and are not in SwimWin.
People and families
Person — one human being's record: name, date of birth, contacts, gate photo. "Swimmer", "coach" and "guardian" are things a person does, never separate records. The coach whose child swims is one person, not two.
Household — the family unit. Memberships, money, waivers and guest-pass allowances hang off a household, not off a person. A person has exactly one primary household, which is what gives the gate one unambiguous answer about whose allowance a child draws down.
Household admin — the person who can act for the family. Every household has at least one at all times, and SwimWin refuses to remove the last one.
Caregiver — a nanny, au pair or listed grandparent. Can collect a child and be checked in. Cannot sign a waiver and cannot message a coach.
Guardian — a household admin or adult on the family. The people who may sign.
The club
Club — a tenant. One club's data is invisible to every other, enforced in the database rather than by careful querying.
Season — the year the club runs on. Memberships, dues, registration windows and gate checks all belong to a season. One season is current at a time.
Squad — a training group. Moving a swimmer between squads moves their schedule, their fee and their rolls in the same action.
Facility — a pool. The schedule's day board is per facility.
Block — a piece of water time on the schedule, with a squad or purpose attached. Blocks repeat.
Access
Role — what somebody does in a club: coach, treasurer, front_desk.
Dated, audited, and never self-granted.
Capability — what a role lets you do: read_roster, manage_billing,
run_gate. Your capabilities are the union of every role you hold today.
Capabilities draw doors; they never open one — the server re-decides every
request from scratch.
Super admin — a SwimWin platform operator. A flag on a SwimWin account, never a club role, and it grants no club capability.
The gate
Verdict — the answer to "can this person get in the water right now": green, yellow or red, with a reason and a remedy.
Reason — one entry from a closed, club-invariant list. See Every gate reason, explained.
Remedy — the specific action a specific named party can take right now. If nobody can act on it, it is informational rather than blocking.
Override — a desk decision to let somebody through anyway, attached to a named person, limited to a number of uses, bounded by an expiry, and audited. An override downgrades a verdict; it never produces green.
Check-in — the record that somebody actually came through the door. Not built yet.
Money
Billing account — the household's ledger. One balance per family.
Charge — something posted to the account. Payment — something recorded against it. The balance is the difference, and one number serves the treasurer, the family and the desk.
On hold — the club has frozen the account. Red everywhere.
Past due — an overdue balance. Yellow at the gate, red where money is committed.
Proration basis — the recorded reason a partial-period charge is the number it is.
Documents
Waiver — a document a family signs. Published as a version; a signature is against one version forever.
Material change — a flag on a published version meaning the substance changed. It invalidates every existing signature in the club and turns everyone yellow.
Policy acknowledgement — reading and accepting a club policy, distinct from signing a waiver.
Communications
Delivery — the ledger row for one message to one person: which message, when, and what the provider reported afterwards.
Site alert — a banner across the club's site and every signed-in screen. Does not email anybody.
Broadcast — a message sent to a chosen group. Not built yet.
