Membership plans and registration forms

Available

What the club sells, what it costs each season, how many there are — and the join forms that sell them.

Who can do this

manage_seasons — owner and club_admin. Dues are a board decision recorded here, so the treasurer (who reconciles them) and the registrar (who enrols families into them) can read the prices but not set them. The waiver list on a registration form needs manage_waivers as well.

Both screens are under Club setup.

Membership types and plans

Club setup → Membership plans (/setup/plans).

A membership type is a kind of seat: Family, Individual, Senior. It says how many adults and children it covers, how many guest passes come with it, and what it opens — the pool gate, the swim team, lessons. A type is never deleted; switch Still sold off to retire it.

A plan is one type's price for one season: the price, an optional early-bird price and the date it ends, a joining fee for the first year, a deposit, a refundable bond (when the type takes one), how joining late and leaving early are handled, and a capacity. There is one plan per type per season.

Capacity

Capacity counts seats sold plus seats held by an open waitlist offer. It can never be set below that total — the screen says the floor, and the server refuses anything lower. Leave it blank for no limit. When a capped plan fills, families go onto the waitlist.

Registration forms

Club setup → Registration forms (/setup/forms).

A form belongs to one season and starts as a draft only staff can see. On it you choose:

  • Status and window — open it when the prices are set; a closed form still says so to a family following an old link.
  • What it asks — medical information, emergency contacts, photo consent, caregivers, the member directory, a swim test, a deposit. Switching off medical information or emergency contacts gets a warning: lifeguards rely on both.
  • Memberships it sells, in the order families see them. A type with no price for the form's season is flagged.
  • Waivers it demands, each required or optional.
  • Add-ons — a fee, a donation or a guest-pass pack sold on the same invoice as the membership. See Registrations.
