The unit that matters
Money, membership, waivers and guest-pass allowances hang off a household, not off a person. That is why the family card, and not the person page, is where most desk conversations end up.
What you can do today
Households (needs manage_club_members) lists the club's families and opens
a family card showing:
- Everyone in the household and their role in it — admin, adult, dependent, caregiver
- Membership status for the current season
- Balance and account state
- Outstanding waivers
- Guest-pass allowance and what is left
Household roles
Every household keeps at least one household admin. SwimWin refuses to remove the last one rather than leave a family nobody can act for — that refusal is a service-level one with a clear message, not a database error.
A caregiver can collect a child and be checked in, and cannot sign a waiver or message a coach. See Households, guardians and caregivers.
Notes about a family
Staff notes attached to a household carry a visibility tier. This replaced a plain notes box that had no tier, no capability and no audit — the box where "mother is difficult, father has a restraining order" gets typed and then read by anybody who can open the family.
Safeguarding-tier notes are readable by the Safe Sport lead alone. Not the owner, not the board.
What is not built yet
- The contact-restriction badge on the family card. A club can record that a named adult must not collect a named child; the record is kept and audited, and the badge that puts it in front of a person at the desk is still landing. Until it is, treat the family card as incomplete on that one question.
- Portal delegation and consent management as a staff surface. The records exist; grant and revoke do not have a screen.
