SwimWin is club management software for swim clubs. Your public website, the practice and meet schedule, registration, dues, the front gate and the roster, all sitting on one set of records.
One roster, everywhere
This is the part that is easy to skim past and it is the whole point. A swimmer exists once. Move them from Development into Senior squad and their practice times, their term fee, their squad's roll and their family's calendar all move in that same action. Nothing is re-keyed, and there is no second list to keep in agreement with the first.
That is the difference between club software and a folder of tools. Most clubs run a website only one volunteer can edit, a registration spreadsheet only one person understands, and a payment app that has never once been reconciled. Those three disagree with each other constantly, and the disagreement is what eats a committee meeting.
What sits on top of that roster
| What it does | |
|---|---|
| Club website | Your public site, on your own domain, edited by the people who know the answers |
| Seasons | The year the club actually runs on — registration windows, start and end dates |
| Registration | Families sign up themselves; you approve, waitlist or decline |
| Households | Families, guardians, caregivers, emergency contacts, one login per family |
| Waivers | Published by the club, signed by a named guardian, checked at the gate |
| Dues | What is owed, what is paid, and one honest list of who still owes |
| Schedule | Practices, meets, lane allocations, per facility and per squad |
| Front desk | Is this person allowed in the water right now, and if not, exactly why |
| Audit trail | Who did what, when, and what they were looking at |
Several more — the team store, learn-to-swim, private coaching, squad chat, meet entries — are on the roadmap rather than in the product. Every one of them has an article here marked Coming soon, saying what it will do and what to do in the meantime. Nothing in these docs describes a screen that does not exist without labelling it.

Who it is for
Three people have to like a club system or it does not survive the season.
- The board volunteered to grow a swim club, not to reconcile a payment app at eleven at night. Registration, money and membership live in one place you can hand to next year's committee.
- Coaches get squad lists, session times and a roster on a phone, on the deck, without waiting for somebody to email a spreadsheet.
- Swim parents get one login for the whole family — sign up, sign the waiver, know where to be on Saturday.
What SwimWin is not
It is not a timing system and it does not score a meet. It holds the roster the entries are built from and collects the fees that come with them; the stopwatch stays with your meet software.
